Start an esports clan: from idea to organization in 7 steps
A clan or esports organization does not begin with a Discord server, but with a clear idea, the right people and a few basics. We walk through the steps from the first idea to the website that represents you.
Important: This is practical orientation, not legal advice. For the legal form (club, partnership and others), taxes and contracts, please get professional advice. This guide describes the situation in Germany.
1. The idea: what does your clan stand for?
Before you start, agree on what you want. One short sentence is enough, and it helps with every later decision.
- Game and goal: Which game, and what is it about: league matches, tournaments, fun, community?
- Level: Do you want to win or just play together? Both are fine, but it determines whom you look for.
- Time: How often do you practice, and what do you expect from members?
- Values: How do you treat each other (team spirit, respect, reliability)?
2. Name and look
A good name is short, easy to pronounce and not taken yet. Search for it on Instagram, X, YouTube, Twitch and as a web address before ordering logos and jerseys. Make sure not to use well-known brands or other teams’ names.
- Logo: Readable on dark and light backgrounds, and small too (profile picture, Discord icon).
- Colors and font: Two or three colors are enough. They run through logo, overlays and website.
- Consistent: The same names and images on all channels so people find you again.
3. Team and roles
One person cannot do everything. Distribute tasks early, even in a small clan.
The most important roles
Leadership (decisions, public image), team captain or coach (practice, lineup), content and social media (posts, clips), admin (Discord, website, tech). One person can have several roles, but every task needs a name.
Less arguing, fewer forgotten things.
It takes a few conversations at the start.
How to select new players is described in our guide to player applications.
4. Communication: Discord, social media, website
- Discord is your living room: practice, agreements, community.
- Social media (Instagram, X, TikTok) is your shop window: results, clips, news. Few channels, but regularly.
- The website is your home on the web: it belongs to you, social media accounts belong to the platforms.
5. The website: your showcase
At the latest when you play in a league or approach sponsors, you need a website. It answers the questions strangers have: who are you, who is on the team, when do you play, how can I apply?
- At least: home page, teams and players, schedule and results, application, contact, legal notice and privacy policy.
- Later: news, partner page, streamers, media kit for sponsors.
How to get there is shown in the guide create a clan website with five options compared. For the address and storage see domain and hosting, for the mandatory pages legal notice and privacy.
6. Structure: rules, tasks, legal matters
- Rules: A short set of rules (conduct, attendance, behavior toward opponents and on stream) prevents many conflicts.
- Decisions: Who decides what? Write it down.
- Money: As soon as income or expenses arise (servers, tournament fees, sponsors), keep a simple overview and clarify who the money belongs to.
- Legal form: At some point (sponsorship, prize money, contracts, minors) it is worth examining a suitable legal form. That is a matter for professionals.
- Minors: Special care with photos, data and consent.
7. Growing: players, games, sponsors
When the basics are in place, the clan can grow: more teams or games, more reach, first partners. Collecting numbers, creating a media kit and approaching sponsors in a targeted way is described in the guide find sponsors.
